Dear Pine Ridge Family,

When the buses rolled out on the last day of camp for Summer 2019 last year, our hearts were filled with gratitude for having the opportunity to spend another fun-filled summer with our incredible camp family. We immediately found ourselves longing for the start of Summer 2020 and began counting down the days until our campus would be filled once again with the sounds of joy and laughter that can only be heard when children and adults alike enjoy and experience the magic of summer camp. On that last day of camp in 2019, we could never have imagined what the months leading up to the 2020 camping season had in store for us. For the first time since the summer of 2008 when Pine Ridge Day Camp & Equestrian Center first opened its doors, we are saddened to announce that we will be canceling all sessions of the 2020 camping season, due to the spread of COVID-19. This is not a rash decision, but is the result of countless hours of conversations between our management team, our health services department, our board of directors, and public health entities.

The health and safety of our campers, staff, and visitors is of the utmost importance to us. With the phased guidelines recently set forth by the Centers for Disease Control related to the spread of COVID-19, the earliest that our program could open is in June when Phase II begins, assuming that our state could qualify immediately to enter Phase I. However, at the time of writing this letter, Alabama does not currently qualify to even enter into Phase I. We took the time to weigh all of our options, but we feel that canceling the sessions for this summer is in the best interest for all members of our Pine Ridge family.

We understand that summer camp is an investment in the lives of your children; however, we understand that this emotional investment also carries a significant financial investment as well. Under normal circumstances, registration deposits would be non-refundable, but as we are all aware, these are not normal circumstances. For that reason, we are making refunds available to our camp families. Please note that, in order to reconcile our books for accounting purposes, refunds are not automatic, and any request for refunds must be made in writing by June 5, 2020.

There are four options for refunds:

  • 1.Full refund – If you wish to receive a full refund of what you have paid towards camp at the time of receipt of this letter, please make your request in writing via email at info@pineridgedaycamp.org. Once your request is received, your refund will be processed and a check will be mailed via USPS to the address on file, unless otherwise specified in your written request.
  • 2.Partial refund – Many families have indicated that they would like to leave some money with camp, but not all. To receive a partial refund of what you have paid towards camp at the time of receipt of this letter, please make your request in writing via email at info@pineridgedaycamp.org with the amount that you would like to be refunded. Once your request is received, your refund will be processed and a check will be mailed via USPS to the address on file, unless otherwise specified in your written request.
  • 3.No refund – Because Pine Ridge is part of a 501(c)3 non-profit agency, many families have indicated that they would prefer to leave their money with camp as a tax-deductible donation in order to help offset the expenses camp incurs as part of registration and maintenance. If this is your choice, please make your request in writing via email at info@pineridgedaycamp.org. After June 5th, 2020, we will send you a letter of donation that can be used for tax purposes. The entire Pine Ridge family thanks you greatly for your donation!
  • 4.Camp Credit – This is the default option for all camp fees. If this is your choice, then no further action is needed. If a family does not respond by June 5th, 2020, with a request for a refund or to transfer their fees in a form of a tax-deductible donation, we will automatically assume that you wish to transfer the fees paid to the form of a camp credit. For families who choose this option, we will make a note on your account of the total credit that will be applied to your camp balance for the 2021 camping season, and the 2020 session rates will be honored. If you used a gift certificate, the expiration date will be extended on that gift certificate, and it will be eligible to be used for the 2021 season, as the gift certificates have no cash value.

We know that this is a difficult time for all. Pine Ridge still wishes to be a part of your family’s summer plans, although it may be in a slightly different format than in previous summers. We will be making additional announcements in the coming weeks regarding our plans to launch virtual activities that families can enjoy.

Don’t look at this as a goodbye, but simply as a “See you later!” We are still here for you and your family, and we are now dedicated more than ever to ensuring that each child in our community has the opportunity to experience the fun and adventure that only camp can offer.
